How to search across several exported voice memo transcripts at once

Short answer: an app's search box only reaches what is still inside the app. Once a transcript has been exported as a file, finding a word across a whole folder of them is a job for your computer's own file tools — and if you already export a full backup, that search may only need to touch one file, not a folder.

This comes up after the fact, once exporting has been happening for a while: a semester of lecture transcripts, a season of interview sessions, months of journal entries, each sent out of the app one at a time as its own file. Now you want to know which one mentions a particular name or phrase, and the app's own search box does not help, because the recording in question is not sitting in the app's library — it is a file on a computer somewhere, and a text file does not carry a search feature with it.

Why this is a different problem from in-app search

Searching inside an app and searching a folder of exported files are the same idea applied to two different places. The app's library search matches text against recordings it still has open in its own storage. The moment a transcript is exported, it stops being part of that library and becomes an ordinary file — and ordinary files are searched with ordinary file tools, not with anything the recorder app provides, because the app has no way to reach into a folder on your computer and no reason to.

What an exported transcript actually is

A TXT export is plain text: words, with the title, date, time and location as a few lines above them. A JSON export is also plain text underneath — structured into labeled fields like title, date, duration and transcript rather than laid out as prose, but every character in it is still ordinary readable text. That matters here specifically because it means both formats are searchable by exactly the same tools that search any other text file on a computer. Nothing about either export format is locked, compressed or otherwise hidden from a plain search.

Searching a folder of exported files

On a Mac, Finder can search inside file contents rather than just file names — open the folder, use the search field, and choose to match the file's contents when it offers the option, rather than only its name. A plain text editor with a "find in folder" feature does the same job and is often faster once you have more than a handful of files, since it can show you every matching line across every file at once, not just the file names that contain a hit.

On Windows, File Explorer's search box already searches inside plain text files in the folder you have open by default, which covers a folder of TXT exports without installing anything else. JSON files search the same way, since Explorer does not care that the text happens to be organized into fields.

Either way, you are not searching audio. You are searching whatever text a transcript export already contains, the same way the app's own in-app search does — a search tool cannot listen to a recording and find a spoken word that was never turned into text, and it cannot find a name that speech recognition misheard and wrote down differently than you are typing it. Reading through a transcript once after export and fixing an obviously mangled name is what makes it findable later, on a computer exactly as much as it is inside the app.

When JSON tells you more than TXT

A hit inside a JSON file lands next to a field name — "transcript", "title", "tags" — because that is how JSON keeps things separate. A hit inside a TXT file is just a line of prose, with no label telling you whether the match was in the transcript itself or in the location line above it. For a quick "does this word appear anywhere" search that distinction rarely matters. It starts to matter once you are searching a large batch of exports and want to tell, at a glance, whether a match was a passing mention in the transcript or something that landed in a tag you deliberately attached.

The case where a folder search is the wrong tool entirely

If what you actually have is a full backup rather than a folder of individual exports, none of the above is necessary. A full backup covering an entire library is one JSON file, not one file per recording — so a single search inside that one file already reaches every recording's transcript at once, the same way it would if they were still spread across a folder of exports, without needing to open, index or search more than one document. Building that folder of individual exports in the first place is worth doing when you want separate, shareable files. It is not the only way to end up able to search everything you have recorded.

Common questions

Can I search several exported transcript files at once without opening each one?

Yes. TXT and JSON exports are both plain text underneath, so any file manager or text editor with a "find in folder" or "search contents" feature searches a whole folder of them at once, the same way it would search any other text files.

Does searching a JSON export find something a TXT search would miss?

No. Both formats come from the same transcript text, so a word present in one is present in the other. JSON additionally shows which field a match landed in — transcript, title or tags — which a plain TXT search cannot distinguish.

Will this find a word that was never actually transcribed?

No. A file search only matches text that already exists in the export. A stretch of audio that speech recognition returned nothing for, or a name it misheard and wrote differently, will not surface in a text search any more than it would in the app's own search.

Is there one file that already covers every recording's transcript, instead of a folder of separate exports?

Yes, if you use a full backup export rather than exporting each recording on its own. A full backup is one JSON file covering the whole library, so a single search inside it already reaches every transcript at once.
